Custom email address (procurement@yourdomain.com)

Emails to suppliers instead of being sent from noreply@prokuria.com will be sent from, for example, procurement@yourdomain.com.

This not only delivers a more cohesive experience for employees, suppliers, and partners, it enhances brand recognition and confidence for those viewing and using the platform.

Prokuria offers two approaches for setting-up a custom email address:

  1. Via SendGrid (preferred option)
  2. Via a SMTP server

Setting up a custom email address in Prokuria via SendGrid (preferred)

To enable white labelling for SendGrid in Prokuria, follow these steps:

Step 1: Receive the DNS Records from Prokuria

  1. Prokuria’s designated point of contact will send you the necessary DNS records via email. These records will include three specific CNAME entries required for white labelling.

Step 2: Coordinate with Your IT Department

  1. Forward the email containing the DNS records to your IT department or the team responsible for managing your DNS servers. They will be in charge of making the necessary changes.

Step 3: Add the DNS Records to Your DNS Servers

  1. Your IT department should access your domain’s DNS settings through your domain hosting provider.
  2. Create the three CNAME records provided by Prokuria in the email:
    • The first CNAME record should have a unique identifier or subdomain of your choice (e.g., emXXXXX) and point to “sendgrid.net.”
    • The second CNAME record should be named “s1._domainkey.YOURDOMAIN” (replace YOURDOMAIN with your actual domain name) and point to “s1.domainkey.sendgrid.net.”
    • The third CNAME record should be named “s2._domainkey.YOURDOMAIN” and point to “s2.domainkey.sendgrid.net.”

The procedure to add CNAME records can vary depending on your DNS hosting provider. Below are instructions for a few main DNS providers. If your provider is not listed here, please refer to their documentation or contact their support team for specific guidance.

Note:

The email address can also be specific to the subdomain that you’ve chosen for Prokuria. For example, emails can be sent from noreply@procurement.yourdomain.com. This is the preferred route if your IT department has a concern related to authenticating the whole domain in SendGrid. Should this be the preferred approach, please note that the part that the part after “@” should be the same as your preferred subdomain. For example, if the domain you are using to access Prokuria is procurement.yourdomain.com, then the email address should be, for example, noreply@procurement.yourdomain.com.

Instructions for GoDaddy:

  1. Log in to your GoDaddy account.
  2. Go to “Domains” and select the domain you want to manage.
  3. Click on “Manage DNS.”
  4. Scroll down to the “Records” section and click on “Add.”
  5. Choose “CNAME” from the dropdown menu for the record type.
  6. In the “Host” field, enter the subdomain or unique identifier provided by Prokuria (e.g., emXXXXX).
  7. In the “Points to” field, enter “sendgrid.net.”
  8. Save your changes.

Instructions for Namecheap:

  1. Log in to your Namecheap account.
  2. Select “Domain List” from the left-hand sidebar and click on the domain you want to manage.
  3. Under the “Domain” tab, find the “Advanced DNS” section and click on “Add New Record.”
  4. Choose “CNAME Record” from the dropdown menu for the record type.
  5. Enter the subdomain or unique identifier provided by Prokuria in the “Host” field.
  6. In the “Target” field, enter “sendgrid.net.”
  7. Save your changes.

Instructions for Cloudflare:

  1. Log in to your Cloudflare account.
  2. Select the domain you want to manage.
  3. Click on the “DNS” tab at the top of the page.
  4. Click on “Add Record.”
  5. Choose “CNAME” from the dropdown menu for the record type.
  6. Enter the subdomain or unique identifier provided by Prokuria in the “Name” field.
  7. In the “Target” field, enter “sendgrid.net.”
  8. Click “Save.”

Please note that the steps mentioned above are general guidelines for adding CNAME records. The specific interface and terminology might differ slightly based on the DNS hosting provider you use. Ensure you follow the instructions carefully and save your changes once the CNAME records are added.

Step 4: Save Changes and Propagation

  1. Double-check all the information you entered in the CNAME records to ensure accuracy.
  2. Save the changes in your DNS settings. Keep in mind that DNS changes might take some time, usually up to 24 hours, to propagate globally.

Step 5: Validate the DNS Records with Prokuria

  1. Once you have added the DNS records, inform your Prokuria point of contact about the completion of the setup.
  2. Prokuria will validate the DNS records and ensure they are correctly configured.
  3. After successful validation, Prokuria will enable custom domain email sending for your account.

Congratulations! With the DNS records validated, your white labelling is now enabled, and your emails sent through SendGrid will appear to be sent from your domain, enhancing brand consistency and trust with your customers.

Setting up a custom email address in Prokuria via a SMTP server

Technical details we need in order to set up the custom email address via a SMTP server:

  • the email account be used (something like procurement@yourdomain.com
  • the password of the email account
  • email server (should be something like mail.yourdomain.com)
  • what email protocol you use (ActyveSync, IMAP, POP3, SMTP)

Please make sure that security settings of the email server you indicate is able to send emails from external sources (i.e., Prokuria) via the specified protocol.
