You won't want every user in your team to have the same level of access in Prokuria. For example, you may want to restrict who can administer Projects, or prevent users from viewing a project. In this article, you will learn about the different permissions in Prokuria and set permissions for a new project.

 

Prokuria allows a very granular permissions setup for each user. There are 2 levels of permissions that can be granted: at the Account level and at Project level



1. Permissions at the Account level

Once you invited a new user in Prokuria, and he/she accepted the invitation you can see and assign its roles and permissions under the  Account  Settings -> Roles and permissions.


To navigate there click your account name and in the sub-menu Account settings.



From here you can manage the permission of each user at the Account level. 



Click Edit and you will be redirected to the page of permission setup:



Company Profile It allows to access, and manage the company profile/settings page
ProjectsIt allows the respective user to be added to projects
Add new projectsIt allows the right to add a new project
SuppliersIt allows to access and manage the supplier directory
Contracts It allows to access and manage the contracts
ItemsIt allows to access and manage items catalog
ReportsIt allows to access and manage the reports
TasksIt allows to access and manage tasks
View tasks from all usersIt allows to access and manage the tasks of all suppliers


For all the permissions you can set the permission type 

  • yes -  full access 
  • view-only access 
  • no access at all

Superadmin

Superadmin users have full access to all modules of Prokuria and on all Projects.



2. Permissions at the Project level


After defining on which modules the user is granted permission and of what type from the Account settings dashboard, now for each Project you can add the users that need to have access to it and define what kind of permissions they receive on that particular Project.


Once you add a new user to a Project, you can see it under  Project Settings -> Roles and permissions.




From here you can manage the permissions of each user for the Project. Click Edit and you will be redirected to the page of permissions setup:



Make ApproverSet the user as an approver on that project
Threshold amountSet a threshold amount for that user, expressed on the currency of the project
The requests to be approved and be approved by the user only if are lower than the threshold amount
Make default user for eventsSets the respective user as the default user for all the future events on that project.
There can be only one default user per project.
EventsIt allows the user to access and manage events
RequisitionIt allows the user to access and manage requisitions
QueriesIt allows the user to access and manage queries
Project settings It allows the user to access and manage project settings
Project Roles & PermissionsIt allows the user to access and manage project roles and permissions
Project BudgetIt allows the user to access and manage the project budget and categories


For all the permissions you can set the permission type 

  • yes -  full access 
  • view-only access 
  • no access at all

Project Admin

Project Admin users have full access to all modules of the Project.
